1. Who we are
Cream City Solutions LLC ("CCS," "we," "us") is a Wisconsin software company at 1902 N Commerce St, Unit 111, Milwaukee, WI 53212. We build and operate custom operations software for business clients. This policy covers personal information we handle for our own purposes — through this website (creamcity-solutions.com), our sales process, and the accounts we manage for the people we work with.
2. If you're a user of an application we built for your company
CCS builds applications that other businesses use with their own customers and employees. The information inside those applications belongs to, and is controlled by, the business you deal with — not CCS. We process it only on that business's instructions, under our Data Processing Addendum. If you want to access, correct, or delete information a CCS-built application holds about you, contact the business that gave you access; if you contact us instead, we'll forward your request to them.
3. What we collect
- Contact information you give us — name, email, company, and anything you include when you reach out or fill out our project intake form.
- Account information — if you're invited into one of our tools (for example, a customer hub), we hold your name, email, sign-in records, and what's needed to run your account. Accounts are invitation-only; there is no open sign-up.
- Business records from working together — proposals, meeting notes, support requests, and project documents.
- Meeting recordings and transcripts — our sales and discovery calls may be transcribed by a meeting assistant so we can prepare accurate proposals. We disclose the assistant in the meeting invitation, it announces itself when it joins, and we confirm at the start of the call that everyone consents. If anyone prefers not to be recorded, we remove the assistant and take notes by hand. Transcripts are kept while the related opportunity or project is active and then deleted; full recordings are deleted once transcribed. You can ask us to delete a transcript at any time.
- Site analytics — we use privacy-respecting, aggregate analytics to see how the website is used. We don't run third-party advertising trackers.
4. How we use it
- To respond to you, scope and deliver projects, and support the software we run for clients.
- To administer accounts, invoices, and our business records.
- To secure our services — detecting abuse, debugging, and keeping audit logs.
- To improve our services, using de-identified or aggregated information wherever possible.
- With AI tools: we use AI services (listed on our Sub-processor page) to help draft documents and summarize meetings. Our agreements with these providers prohibit them from using our data to train their models, and we use zero- or limited-retention configurations where the provider offers them.
5. What we share, and with whom
We share personal information only with:
- Service providers that host and power our services — our current list, what each does, and where they process is published at creamcity-solutions.com/legal/subprocessors;
- Professional advisors (lawyers, accountants, insurers) when needed;
- Authorities when the law genuinely requires it; and
- A successor if CCS is ever merged or acquired, under the same protections.
We do not sell personal information, and we do not share it for third-party advertising.
6. Where your information lives
CCS and its service providers store and process information in the United States. If you're in Canada (or elsewhere outside the U.S.), your information may be transferred to, stored in, and processed in the United States, where it is subject to U.S. law and may be accessible to U.S. authorities under U.S. legal process. We protect it the same way wherever it is processed.
7. How long we keep it
We keep personal information while we have an active relationship or a business need (for example, open proposals, active accounts, or legal/tax record-keeping), then delete or de-identify it. Backup copies age out on their normal cycle.
8. How we protect it
We use encryption in transit, access controls, invitation-only accounts, and per-customer data isolation in the applications we run. The full list of measures is in Annex A of our Data Processing Addendum. No system is perfectly secure, but if a breach affects your personal information we will notify affected parties as the law requires.
9. Your choices and rights
Email cmcelven@creamcity-solutions.com to ask what we hold about you, have it corrected or deleted, or withdraw consent to marketing contact. We'll respond within 30 days. Canadian residents have these rights under PIPEDA, including the right to complain to the Office of the Privacy Commissioner of Canada; we'll cooperate with any such inquiry. (If your request concerns a client's application, Section 2 applies — we'll route it to the client.)
10. Children
Our website and services are for businesses and are not directed to children under 16. We don't knowingly collect children's personal information.
11. Changes to this policy
If we change this policy materially, we'll update the date at the top and, for active clients, give notice. The current version always lives at creamcity-solutions.com/legal/privacy.
